Use of AIA/CES logo

Providers, are you aware that you may utilize the AIA/CES logo on your company website to validate and promote your educational activities? You can access the logo on the providers website under forms/logos.

 

 

Just a friendly reminder the use of the AIA official red inked logo is prohibited.

Accredited vs. Registered

AIA/CES does not "accredit" activities. As an AIA/CES provider you "register" your educational activities with us. Please check your promotional materials and your website, if you currently refer to AIA/CES activities as "accredited" please change it.

Presenters

Are you overlooking your QA slides? are you skimming or just bypassing them all together? Consider it as part of your housekeeping notes. Remember it is required that you inform your audience of the QA slides it is due diligence and should be a part of your presentation. It validates your presentation and you as an AIA/CES provider.

Contact Hours - Conferences

  • Do you offer all day conferences, are there breaks including lunch?
  • Do you have multiple speakers?
  • Are your sessions running concurrent?
  • Are you including the Q/A slides in your events?
  • Are  you using the correct forms for reporting?

Note- 1 contact hour equals 60 minutes of instruction- NO EXCEPTIONS

Breaks are not included in the 60 minute requirement.

Each speaker should have learning objectives and should make the Q/A disclosure before their presentation. Slide presentations are to be free of company specific logos.

Concurrent sessions are ideal for conferences occuring over several days. And again, each session should have identifiable goals and disclosures.

CES² Component Scholarship

AIA COMPONENTS PLEASE READ!
2008 AIA Continuing Education Systems AIA Component Scholarship Program, New Orleans, LA.

This past March we were pleased to award 26 AIA Component representatives a $1,000 scholarship to participate in a two day CES program in Tucson, AZ. This scholarship program was intended to help Chapters gain resources; learn to market their continuing education programs, and to learn about CES opportunities that could be made available to them. Because of the amount of positive feedback we received, we are pleased to announce that we will be holding this program again next March 27-28 in New Orleans, LA. We understand many AIA Components struggle with limited resources, staff, and money to conduct quality AIA/CES programs, so the main focus of CES² is how to market your programs effectively. We will also be discussing AIA/CES basics (administration, submitting programs, reporting credit), distance learning programs (developing successful online programs and pod casts), strategic planning/partnerships, and much more! One of the main reasons we can hold a program such as this is due to our sponsors and they too will be in attendance during the entire event as participants, ready to answer your questions and help. This is a great opportunity! To stress how valuable this program was we would like to share some of the testimonies received from those who attended last year:

CES Provider Renewal Online

It’s that time of year again, Renewal Time! If you want to save time and money make sure you take advantage of the Online Renewal process! This great offer is available until January 31, 2008. It’s easy, just follow these simple steps:

 

  1. Go to the AIA/CES Provider page
  2. Log on using your Provider Number and Password
  3. At the Top of the Provider Program Menu, you will see a tab for Online renewal, shaded yellow
  4. Click on the tab and hit continue
  5. Fill in the Necessary fields and follow the prompts

(Be prepared with all of your information!) Once you start the payment process you must complete the process. If you leave the site without entering complete information you will blocked from re-entering the Verisign payment site.

Make sure you hit the SUBMIT BUTTON!  You will be sent a Confirmation Email with your new password for 2008! If you have any problems please email Bryan Miller.

The 2030 Challenge

Ed Mazria, FAIA, founder of Architecture 2030, held his second Web conference “teach in” January 30. His message is constant even as the global atmospheric ppm of carbon dioxide, temperatures, and sea levels rise. Stop burning coal and start converting to solar and other renewable power sources, he says. New Requirements to Protect Children from Lead-Based Paint Hazards

(Washington, D.C. - March 31, 2008) To further protect children from exposure to lead-based paint, EPA is issuing new rules for contractors who renovate or repair housing, child-care facilities or schools built before 1978. Under the new rules, workers must follow lead-safe work practice standards to reduce potential exposure to dangerous levels of lead during renovation and repair activities.

"While there has been a dramatic decrease over the last two decades in the number of children affected by lead-poisoning, EPA is continuing its efforts to take on this preventable disease," said James Gulliford, EPA's Assistant Administrator for Prevention, Pesticides and Toxic Substances. "Today's new rules will require contractors to be trained and to follow simple but effective lead-safe work practices to protect children from dangerous levels of lead."  For the full article please visit the US EPA.

Sustainable Design Learning Objectives

As noted in the CES Provider Connection, AIA CES has changed the continuing education requirement to include 4 sustainable design hours as part of the total 8 health safety welfare hours.  The change in requirement will be effective January 1, 2009.  Considering the changes, isn’t time you re-evaluated your learning objectives?  When course content is questioned the first place auditors look is at the learning objectives.  The Program Registration Form A is being redesigned.  Once that becomes available you will be required to re-register any course you want to qualify as Sustainable Design (SD).  Prepare now for the evaluation and writing of your learning objectives so that they are compliant with the sustainable design definition and criteria.  If you have questions on how to write learning objects, please email Sara Thomas.  If you have examples of good sustainable design learning objectives, please post them to this blog.

A NEW Online Conference! Creating a Sustainable Design Course – June 22-26, 2009

Conference Description
This one week virtual conference will offer CES Providers valuable information on understanding the guidelines, creating content and registering a course for AIA/CES Sustainable Design credit. This virtual conference will review the context of the new AIA Sustainable Design requirement and review strategies and tools the AIA is using to address Sustainable Design issues. This conference will provide helpful hints and models to CES Providers and help you to better understand the framework of Sustainable Design, providing new markets, opportunities, and potential for CES Providers. The online conference will cover different related modules each day but will be available 24/7. Faculty will be available each day. Our guest speakers will share their successful practices. There will be additional resources imbedded in the conference including downloadable power points, pod casts, related links, an inserted web cast with 3D modeling, recommended readings. Participate in live chats, ask questions, make suggestions, and share your opinions and lessons learned with your cyber classmates.

AIA to Launch New Learning Management System: AIA CES Discovery

AIA CES Discovery Basics

On September 1, 2010, the AIA Continuing Education System (AIA CES) registration, records, and data management will move from the University of Oklahoma’s CES Records Office to a more advanced in-house system.

The current AIA CES system hosted by OU was designed 15 years ago to serve a much smaller population of AIA members with relatively similar continuing education needs. Since then, AIA membership has grown by almost 50 percent, and the number of states with mandatory continuing education (MCE) requirements has grown from 3 to 43, with widely divergent requirements.

Migrating to the more robust, automated AIA CES Discovery system will address the need for a stronger technology solution to manage AIA members’ continuing education credits and to meet their diverse professional development needs, MCE requirements, and delivery preferences.  More information can be found online.

1. AIA CES Discovery Launch Date Extended to October


On Monday, October 25, AIA Continuing Education System (CES) transcript and data management will move from the University of Oklahoma (OU) to a Web-based learning management system to better meet AIA members’ professional development needs, mandatory continuing education requirements, and delivery preferences. The OU AIA CES Records Office will continue to process all records received by September 30. Throughout the testing and transition phases, the records will reside in both the OU and CES Discovery databases.

The AIA CES Discovery learning management system, previously scheduled to launch this September, will instead debut on Monday, October 25, to allow adequate time to incorporate and test several new proposed system changes and upgrades. The decision to add the enhancements was reached after months of collaboration with AIA components. The goal: to provide members with the strongest possible tool for accessing their continuing education resources. The enhancements require changes to the software program, and templates must be developed and tested to ensure the smoothest possible launch. Component work groups will continue to review and test the system before the launch and beyond.

What Else Is New? A Video Preview of AIA CES Discovery
Get a sneak peek at what the system can do by checking out the video tutorial now available online. The presentation (viewable in an .exe file format) shows how a user can perform several essential functions, such as viewing a transcript, searching for courses, adding new courses, and reporting attendance.

Plan now to attend one of three live Web seminars on the AIA CES Discovery system. Registration is available now for October 4, October 7 and October 12. These training presentations will walk you through easy navigation of the new system and cover how to register courses, report AIA member credits, create customized reports, and much more!

2. Course Evaluation Models


Course evaluations will become available for all providers offering continuing education when AIA CES Discovery launches this fall. This will be one of the many ways we will monitor the quality of our CES courses. Donald Kirkpatrick is one of the most well known voices in the training industry, and the Kirkpatrick Partners Website offers products and programs for training in evaluations that will yield measurable business results. His book Evaluating Training Programs is an excellent tool for developing successful evaluations.

It’s hard to believe that the annual provider renewal is just around the corner! Beginning this fall, you will be receiving your renewal invoice electronically. In an effort to collect the most accurate information for our provider points of contact, we are encouraging you to update your contact information online. The renewal invoice will be sent via email and a second invoice will be mailed, if it hasn’t been paid later in the year.

 


4. CES Tip of the Month


Several of our AIA components around the country help members catch up on their continuing education requirements through annual "Procrastinator's Day" events, ranging from half-day seminars to full weeks that feature one or two courses per day. These kinds of events are now being adopted by more and more AIA providers annually. AIA members have a deadline each September 30 to complete their previous year’s requirements. As a provider, you could easily help them out by holding a “Procrastinator’s Day” over the next two months. AIA New York offered one of these events last year with great success. January 25, 2011 CES Provider Connection Survey

Welcome to a new year of providing quality continuing education to design industry professionals! It’s the time of year that many of us create strategies, which may include graphs, calculations, sticky notes, or power points, on how to improve the quality of our offerings compared to last year.

 


AIA/CES is offering new provider trainings in 2011. Sara Thomas, Manager, CES, will reveal what’s ahead in her article below. Also, to support your use of CES Discovery, the CES Provider Connection will include tips about policies and procedures. In this issue we include tips about submitting attendance.  Nikitia H. Forest, M.A., Manager, CES includes information about an exciting new series of webinars.


Of course, life exists outside of the AIA/CES Department, and we hope that the links to articles about continuing education or the design industry in general prove useful as well. Any new information about mandatory continuing education as part of license renewals are included in this issue, and will be included in future CES Provider Connections. Lastly, as a service to our component providers (AIA Chapters) we continue to list calls for speakers and exhibitors.


We hope that all AIA/CES approved providers are as excited as we are about what is available to you through this newsletter. This information is sent to current providers only. If you have not renewed by the January 31, 2011 deadline, you can do so online. Access to CES Discovery will cease for those providers that do not renew by the January 31, 2011 deadline.


Quality
One way to monitor the quality of presentations is to offer evaluations to participants. Many continuing education providers rely on the results of evaluations to reveal the weaknesses and strengths within a presentation. An evaluation is also useful to discover trends or subjects that interest participants.


AIA/CES offers evaluations as well. As a result of a new policy, providers are required to add a new slide into their presentations that directs members to course evaluations. For more information on new policies or procedures, please review the Provider Manual on the Resources section of your CES Discovery home page.


An important consideration in these tough economic times is: is there a way to increase the quality of your offerings compared to last year without allocating additional resources? Design industry professionals have seen resources dwindle. Yet, the expected quality and level of service have remained the same or increased. How do firms, product manufacturers and other continuing education providers respond to this paradox? One way is through the use of social media.


Social media is ubiquitous and presents interesting opportunity to educational providers. It forms communities in unlikely places, and draws on a broad range of perspectives. As a result it could potentially expand the reach of your organization’s educational offerings. It’s so prevalent that the creator of FACEBOOK® is on the cover of Time Magazine®. However, it’s so new that advocates of social media are vastly outnumbered by those who only use a phone to call another person (EEK!)

020711 AIA/CES Providers – What is a Leader?

Recently, I participated in the AIA’s annual Grassroots conference.  It’s a conference the AIA organizes so that leaders within the AIA Chapters can network and receive tools that focus on how to be effective leaders within their chapters, and how to be effective leaders on behalf of the architecture profession in community politics.  The words, *leader* and *leadership* were tossed around like footballs before during and after the conference, and I’m grateful for that.  It made me evaluate my interpretation of the word.

One of the ways a person is a leader is if that person encourages collaboration.  Leaders break down the barriers between disparate or competing entities especially in times of reduced resources.  But, how does that translate into the sphere of continuing education?

How would a CES Provider exhibit leadership to the attendees of a course?    Is it just money that drives a provider to collaborate with chapters and firms – to gain access to the members that sign documents?  I heard that’s the case, but I suspect there is more to their desire to collaborate than that.  Do they wish to collaborate because they have information about new technologies that will excite the attendees?  It’s possible that the work they do inspires them, and they want to present their products or services so that others are inspired as well.  Also, it’s possible they present lunchtime presentations because they believe those who attend continuing education courses are responsible for supporting a vibrant design profession.

Providers have the content, and they have the enthusiasm, but they must translate that into collaboration with chapters and firms.  Before the providers can open the easels that hold their presentations, the chapters or the firms must trust the providers to present quality presentations that are of use to the members.  Basically the firm sponsors and the chapter staff are the gate keepers.  In this way, the providers are leaders if they are willing cede control and accept others’ terms of collaboration no matter how thrilled they are to talk about their content.

Be guided by the continuing education needs of the members as outlined by the chapters and the firms.  If the education you present is what those members need, then it’s win-win.  If it’s not, then it’s time to attempt a new collaboration with a different component or firm.  What do you think?

021411 AIA/CES Providers – What is a Leader? (Communication)

You walk into a room where design professionals meet for food and conversation after work.  For fun you decide to work the room, and listen in on a few conversations.  After the gathering ends, you list the striking aspects of the conversationalists you remember.  The list may include the following characteristics:

  1. Personal style – LOVE the glasses!
  2. Enthusiastic presentation of story
  3. Knowledge base exceeds the ordinary
  4. Maintained focus of conversation
  5. Opened the group so that I could listen in

Which one of the above characteristics is imperative for a leader to possess? 
When asked What is a characteristic of how a leader communicates? my colleagues offer different answers.  The answers don’t conflict, but the difference reflects how leaders-in-training can aspire to leadership roles without subscribing to a one-dimensional leadership style.
 

Leaders understand the boomerang effect.  How they present their information is as important as what they present.  They are cognizant of the power of the words on the listeners.  Leaders convey their ideas in a tone that starts neutral and morphs into welcoming.
 

Leaders are direct.  They are confident in their viewpoints.  They accept conflicting views as new information, but maintain the focus in a conversation.  Also, when other people have similar views, leaders create the opportunities to support the consensus, as opposed to emphasizing competition. 
 

Leaders are inspirational.  When they talk about their expertise the way they say it inspires the listeners, and is moving.  Leaders channel their creative energy into results.  They must be good public speakers, and have the elevator speeches about the results memorized.  People are not inspired by the ordinary.  They are inspired by the active.  The best way to inspire others is to illustrate how a single thought results in a long term solution. 
 

Leaders are you.  As providers of continuing education, presenters are tasked with teaching attendees something they don’t know.  Within their presentations providers must assume the role of mentor to the attendees, and adjust their conversation style to be the most effective communicators.  Not only can providers show the attendees how to use a skill or product, but they should  inspire the attendees to articulate the benefits of this skill to the advancement of the profession.  Is it possible for a provider of continuing education to assume the role of leader and leader-trainer?

Dear AIA/CES Provider:

 


We want to update you on our progress with CES Discovery, AIA’s new learning management system since our October 25, 2010 launch.

  • One million member records have been transferred from our previous service provider into Discovery. 
  • 27,000 members; 152 components, and 1800 providers have logged into Discovery since launch.
  • Hundreds of courses have been submitted for review and approved.
  • Thousands of new credits have been posted to member transcripts.

We thank you all for your work to ensure that members’ transcripts are up to date and accurate.


The beginning of 2011 is a good time to remind us all of the obligations of all AIA Continuing Education providers. We want to focus on three important requirements, which have been in place since 1995.

  • Proposed courses are to be submitted for approval to AIA CES no later than five days prior to event. This request is to be submitted online. 
  • Courses cannot be advertised as eligible for AIA Continuing Education credits until approval is received. 
  • Attendance for individual courses and conferences is to be submitted no later than two weeks after the event using CES Discovery online, bulk upload or electronic attendance form.

AIA members count on the CES Discovery system to accurately reflect their records. If courses are not approved, then receipt of credit is jeopardized. If attendance is not reported, then credit does not appear on the member’s transcript.

AIA/CES Provider Workshop: Training on Trial


Believe it or not, the AIA National Convention Design and Exposition is right around the corner. I am excited to announce that we will be holding a special provider workshop on Wednesday, May 11, 1:00-7:00pm. If you are attending the convention in New Orleans, join us for this exciting event! Workshop Information
For most learning professionals and organizations, training is on trial. The charge? Incurring expenses in excess of its value to the organization. This workshop will prepare you to effectively demonstrate how training is valuable to the bottom line of your business. This session will explain why measures like numbers of courses held and attendees do not equal value in the eyes of our key business partners or to the corporate jury. It will bring to light the key metrics that are important to business and how you can support them. You will learn how, through business partnership, you can solidify the importance of the workplace learning organization to the company and can enjoy a secure position regardless of economic fluctuations. You will come away with concrete ideas for how to obtain you own “not guilty” verdict. Based on the book by the same name, this interactive seminar facilitated by the world leader in training evaluation is not to be missed! After this session, you will be able to describe the difference between effective training and training effectiveness, plan and deliver training programs with business value in mind, and demonstrate program value in terms that business partners understand. A reception will immediately follow featuring New Orleans-style cuisine. Open to all AIA providers and those interested in joining the CES Provider Program.


Policies and Procedures – Electronic Attendance Forms


AIA/CES has designed a way for providers to submit attendance without using the CES Discovery Report Attendance function. As of March 1st providers will be able to submit attendance forms electronically for conferences, and individual courses.

 


By March 1st Providers can download the Electronic Attendance Form PDF from the Resources section of the CES Discovery home page. Instructions for using the form will be printed at the top of the form. Once an Electronic Attendance Form has been created for your event, the provider will scan the forms, and email them to cesattendance@aia.org. An automatic email will be sent to providers to confirm receipt of your attendance documents. Providers can check to see if attendance was successfully uploaded 48-72 hours later, by accessing the View Member Attendance report under Shared Reports on their admin menu.


Important Requirements

  1. Attendance forms faxed or emailed directly to AIA/CES staff will be discarded.
  2. This PDF form is interactive and must be created UNIQUELY for each session(in the case of individual courses); or each conference date (in the case of conference forms) 
  3. Member Numbers, Names and all other hand-written information must be clearly PRINTED in black ink, it is the responsibility of the provider to ensure legibility
  4. Forms must be scanned at 300dpi resolution or better

Providers must add the following information to the top of the PDF document before printing it:

  1. Course Title 
  2. Provider Name
  3. Provider Number
  4. Course Number
  5. Session Number

030711 Iconic Continuing Education

Many buildings evolved from the dream of the architect to icons of culture.  A few years ago the AIA150 project compiled ratings of America’s Favorite Architecture.  Some of these buildings are known for how they symbolize a political tradition, a financial tradition, a sporting tradition, and even a break from building process and construction.  As selected by the public all of them have an important iconic place within America’s built environment and culture.    

Continuing education supports the inspired members of the built environment who may design the next icons.  In order to try a new process or a new material, the architects must educate themselves on the use of the processes and materials.  These same architects routinely apply the same knowledge to new projects.  As a result other staff responsible for the new projects may be inspired to attend courses on the new processes and materials. 

At some point the new process or material may inspire an architect to expand the boundaries within the built environment and create a metal monster or a structured dream that ultimately defines how our culture views itself.  The design industry community lauds the designer’s individuality while at the same time entreats the designer to talk about her processes so that everyone else can learn from it.

As a social media user I’ve been inspired by Sybil Barnes, AIA’s Director Social Media to try new ways of communicating with CES Providers.  She developed a tweetchat series #AIAChat that runs at 2pm EST every first Wednesday of the month.  To discuss the big picture objectives of continuing education, CES will also host a tweetchat series #aiaces.  The first tweetchat will be Thursday, April 14th from 2:00 PM – 3:00 PM EST.  Please review the #aiaces tweetchat page for more information.  *See* you there!

041111 Lifelong Learning Meets Social Media AIA/CES

This Thursday, April 14th, I will host the inaugural #aiaces chat at 2pm EST.  The first topic will be Lifelong Learning in the Design and Construction Industries, and more information can be found on AIA.org.  Between now and then I have time to reflect not just on lifelong learning in the design and construction industries, but also on the social media path I walked since I started to work in AIA/CES. 

November 2005 when I started my job within AIA/CES I didn’t blog.  Within a year or so I read, Julie and Julia written by Julie Powell, and I was determined to try blogging.  The author’s ability to broadcast what interested her most, and to receive a massive supportive response was very inspiring.  I started many blogs since then, and luckily the ones I used outside of work were free.  My enthusiasm for blogging was contagious at work, and this enthusiasm manifested itself in the AIA/CES blog.

When I originally started to blog for CES the goal was to repurpose information already present on AIA.org or within the CES Provider Connection.  I thought I could use it to add more support to continuing education programs that deserved attention.  However, this year the focus of the content is to present a look at professional development from a bigger picture than just a course here or there.  I would like readers to be inspired to respond to the blog, start a conversation with a colleague or start a blog on their own.

Besides writing a blog, AIA/CES also has a twitter presence AIAContinuingED, and we are formatting a Facebook page.  Social media platforms are fun, but we need to define the reasons they are necessary.  Blogging is still a great way to repurpose information communicated via other channels, but as with tweetchats, it’s a way to create a real-time community where none existed before.

Dear AIA/CES Provider:

For many AIA staff the AIA National Convention acted as divide between the first part of the professional year, and the rest of the professional year as equal in importance to the day a budget is due, and the day after budget reports are submitted. Before January 1, 2011 through the last day of the Convention, AIA/CES staff focused on how and what to present to providers. Also, we focused on how staff would ensure that members received exceptional customer service at the convention.


However, it’s time to embark on the second half of the year, and to focus on what will be of importance within 2012. Of primary importance is distribution of information that providers find useful. Please download the Call for Presentations for the AIA 2012 National Convention in Washington DC. We encourage providers to apply as the National Convention provides great exposure to the convention presenters. Also, our focus for the remainder of the year is on helping members meet their state licensing and membership requirements.


It's time to familiarize yourself with the content of CALGreen and the International Green Construction Code. Many design industry professionals will need education in the content and implementation of these new codes, and they will look to providers to offer key educational opportunities. I interviewed William J. Worthen, AIA, LEED AP, Director Resource Architect for Sustainability about what providers need to know in order to be prepared for the dramatic shift in the design profession.

Primary and Secondary POCs: There is a difference

Provider points of contact (POCs) are responsible for carrying out the AIA/CES administrative responsibilities within your organization. E-mail is our primary means of contact at AIA/CES, and it is important to designate at least two AIA/CES POCs in your organization. These people must be familiar with our system and involved with administering the courses and reporting the participant credits. The primary POC is generally the manager of the provider’s account and will receive all e-mail messages related to annual provider renewal, provider assessments or other administrative matters.

CES Discovery Enhancements – Be Prepared for June and July

Be Prepared in June and July.


The CES/Discovery system will be down June 3-6 for maintenance. Please plan accordingly.

Also, in July we will be implementing another set of updates to CES Discovery, which will include formatting the Course Basics and Course Additional screens after your courses are approved so they can’t be changed. This complies with our CES policy on approved courses.

 
Health Safety Welfare

AIA members and other architects licensed in many states with mandatory continuing education (MCE) requirements for license renewal are required to complete a minimum number of hours of Health, Safety, and Welfare (HSW)-related training. AIA members are required to take eight learning unit (LU) hours of continuing education per year in approved HSW topics. Because many architects are required to take HSW courses and these courses are in high demand by both AIA members and architects licensed in states with MCE requirements in HSW, providers are encouraged to offer HSW education.

Changes in the profession in regards to HSW may occur over the next couple months. As noted on NCARB’s website, This June, the NCARB Board of Directors plans to present a revision to the standard related to continuing education in its Model Regulations for the registration boards to review and vote on at its Annual Meeting. NCARB hopes that the revisions will lead to greater standardization and acceptance among those jurisdictions that require some form of continuing education for license renewal in order to make the renewal process simpler for all architects.


Any changes in the HSW definition will be posted to AIA.org, and will be included in the CES Provider Connection. Check back for updates.

062011 CES Discovery Upgrades - Improvements to Course Management Search Function and Display Button

As of July 18th, providers will have the option to search for existing courses of all statuses with improved course search filters. Potential status of a course could be all, inactive, or active, and within the status of all, and active, providers could also search for courses in a status of new submission, pending admin approval, denied, or requires more information. Search results will be displayed in reverse chronological order.  Read more.
